What actually goes wrong in a migration done badly

Most migration horror stories have the same shape. Someone changes the MX record without also finishing SPF, DKIM and DMARC, and for a week outbound mail from your own domain gets flagged as spam by the people you email most. A folder of years of client correspondence gets left behind on the old server because nobody exported it before the account was cancelled. And there is always one person, often the owner, whose phone was never reconfigured, so they are still receiving mail on the old account while everyone else has moved on.

None of that is inevitable. It happens because migrating mail and reconfiguring devices get treated as two separate jobs, done by two different people on two different days. We treat them as one job: the DNS and mailbox work happens first, verified before anyone is told to expect a change, and the device setup happens right after, in the same visit.

What the on-site part actually buys you

A remote consultant can move your mailboxes for less than we charge, because moving mailboxes is the easy half. What they cannot do from another city is walk your team through the moment a phone asks for a new password, catch the one laptop still pointed at the wrong incoming server, or notice that the front-desk shared inbox stopped forwarding because nobody rebuilt the rule. That is why this is priced the way it is: the fee covers a person driving to your Houston office and configuring every device by hand, not a per-mailbox license fee with a support ticket attached.

Do we keep our own domain name during the move?
Yes. Your domain stays registered to you throughout; we only repoint the MX, SPF, DKIM and DMARC records so mail routes to the new mailboxes instead of the old ones. Nothing about domain ownership changes, and you get the updated records in writing.
What happens to shared mailboxes and distribution groups?
We inventory every shared mailbox, alias and distribution group before the cutover and rebuild each one on the new system, so a reservations inbox or a dispatch alias keeps working exactly as it did before, just on the new platform.
How long does the actual cutover take?
Most 5 to 10 mailbox jobs wrap in a single day: mail and calendars land first thing in the morning, then the rest of the day goes to setting up computers, laptops and phones at your office, one at a time. A larger office sometimes needs a second morning to finish the last few devices, but nobody spends a week splitting time between two mail systems while things get sorted out.
Can you migrate the other direction, from Microsoft 365 to Google Workspace?
Yes. We move businesses either way, Google Workspace to Microsoft 365 or the reverse, using the same process: mailboxes created on the new platform under your own account, history migrated, DNS repointed, and every device configured on site. The per-user licence is billed to you by Microsoft or Google either way; we charge for the migration, not for reselling their subscription.
